Summary

The incumbent serves as a Program Support Assistant to the Director of the Primary Care Service Line and office manager for the Executive Office at the VA Boston Healthcare System (Jamaica Plain campus).

Help

The incumbent has full responsibility for planning, developing, and directing key administrative and program support functions that are essential to the daily administration and performance of the Primary Care Executive Office. The incumbent provides comprehensive administrative and program support to all members of the executive team and serves as a primary point of contact for Primary Care staff system-wide throughout VA Boston Healthcare System. Primary Care is a complex service line with nine primary care practices and five clinical programs across eight campuses and the incumbent must perform effectively in a broad variety of situations involving administrative coordination of both clinic and educational activities.

Duties and responsibilities encompass a broad variety of program support and office operations including but not limited to administrative functions (scheduling and maintaining calendars, preparing and managing correspondence, and maintaining electronic and paper information systems) and program and operations support (timekeeping, coordination of daily clinical and administrative activities, ordering supplies for staff system-wide, and facilitation of leadership and other service meetings).

Work Schedule: Monday - Friday, day shift, hours to be negotiated

Pay: Competitive salary and regular salary increases. When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade).

Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)

Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.

Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA.

Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement)

Telework: This position may be authorized for ad-hoc telework which occurs on an occasional, non-routine basis and is utilized to complete short-term special assignments or to accommodate special circumstances even though the telework arrangement may occur continuously for a limited and specific period of time. Telework eligibility will be discussed during the interview process.

Physical Requirements: The work is primarily sedentary. Standing, bending, reaching, carrying files, books, and manuals are routine requirements. No special physical demands are required, although workplaces some demands on the incumbent because it involves walking throughout the Medical Center, bending, filing, and transporting light items such as office supplies, files, patient records, and books, as well as occasional travel to other facilities to accomplish responsibilities. The work is performed primarily in an office setting with some travel to other campuses and institutions. Normal safety precautions for office, clinic, and meeting spaces are observed, and the work environment is typically adequately lighted, heated, and ventilated.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization.
