Position SummaryThe Gatehouse Attendant is the first point of contact for everyone entering Freestone Lake and Golf Club, staffing the property's main entrance to control and direct all incoming and outgoing vehicle and pedestrian traffic. This position verifies the identity and purpose of arriving members, guests, vendors, and contractors before granting property access, and maintains an accurate log of all entries and exits. The Gatehouse Attendant sets the tone for every visitor's first impression of the club, so a warm, professional, and observant demeanor is essential. This role works closely with, but is distinct from, the Member Services and Overnight Security teams - the Gatehouse Attendant's focus is strictly on entrance traffic control and access verification, escalating any concerns beyond that scope to Member Services or Security as appropriate.
Qualifications- 18 years or older
- High school diploma
- Authorization to work in the United States
- Valid driver's license
- Prior experience in guest services, front desk, gate attendant, or traffic control preferred
- Comfortable working outdoors in varied weather conditions for extended periods
- Strong attention to detail and ability to follow access-control procedures consistently
- Friendly, personable, and approachable
- Capable of engaging in courteous, professional conversation with members, guests, and vendors
- Displays an understanding of protocol and decorum for a luxury resort environment
- Ability to remain calm and communicate clearly when redirecting or denying entry
- Demonstrates sound judgment and discretion regarding member privacy and confidentiality
Key ResponsibilitiesGate & Access Control- Staffs the gatehouse to monitor and control all vehicle and pedestrian traffic entering and exiting the property.
- Verifies identification and cross-references visitor, vendor, and contractor lists prior to granting property access.
- Operates the gate arm and access control technology (e.g., license plate recognition or RFID systems), manually verifying entry when automated systems flag a mismatch.
- Maintains an accurate, up-to-date log of all vehicles and individuals entering and exiting through the gatehouse.
- Maintains awareness of temporary access codes issued to contractors, guests, or seasonal staff, ensuring timely deactivation.
Member & Guest Recognition- Recognizes recurring members and their vehicles, greeting them by name and extending appropriate familiarity to enhance the arrival experience.
- Coordinates in advance with Member Services regarding expected guests to ensure a seamless, personalized arrival experience.
Event & Reservation Coordination- Manages increased gate traffic during private events, tournaments, and member functions using pre-approved guest lists, directing event vendors to designated service entrances.
Package, Delivery & Vendor Logistics- Confirms deliveries and contractor appointments before granting access, and directs them to the correct location on property.
- Receives and logs packages and deliveries addressed to member cottages and residences, coordinating hand-off with Member Services or Housekeeping.
Discretion & Privacy- Maintains strict confidentiality regarding member arrival and departure patterns, guests, and schedules.
- Tactfully redirects press, solicitors, or uninvited visitors without disrupting the arrival experience for members and guests.
Property & Grounds Awareness- Monitors entrance road and weather conditions and reports hazards (e.g., flooding, ice, downed limbs) to the Operations Manager.
Escalation & Professionalism- Promptly contacts Member Services or Security for any situation beyond the scope of gate access - including unauthorized entry attempts, disputes, or member/guest concerns.
- Maintains a clean, organized, and welcoming gatehouse station at all times.
- Presents a professional appearance and adheres to company dress code.
- Represents the company with integrity and dedication.
