Position Summary:
The Assistant Operations Manager supports the oversight of the Member Services and Housekeeping departments at Freestone. A significant portion of this role focuses on cottage bookings, arrival/departure management, and ensuring execution of housekeeping services.

This position frequently interacts with members and collaborates across departments. As the Member Services team represents the first impression of Freestone Lake and Golf Club, the Assistant Operations Manager is responsible for instilling high standards of service and working directly with the Operations Manager to ensure operational success.

Key qualities for this role include exceptional interpersonal skills, professionalism, strong oral and written communication, sound judgment, problem-solving abilities, and a thorough knowledge of club amenities and services. The role also provides operational oversight and advises the Operations Manager on member services, housekeeping, quality assurance, and broader operational needs. Flexibility to assist across other departments is required to ensure seamless operations.
Qualifications:
  • 1+ year experience in high-end resorts, private golf clubs, or similar environments.
  • 1+ year experience providing concierge-style customer service in-person, by phone, and via digital correspondence.
  • Strong oral and written communication skills.
  • Understanding of protocol and decorum in a luxury resort environment.
  • Ability to work independently and collaboratively as part of a team.
  • Strong organizational skills and follow-through on tasks.
  • Outgoing, charismatic, and positive attitude.
Physical Demands:
  • Ability to work all shifts, including days, nights, weekends, and holidays.
  • Walking, standing, sitting, with light lifting up to 25 lbs.
  • Work in both indoor and outdoor environments.
Key Responsibilities:

Member Services & Guest Experience:
  • Promote and uphold the Freestone brand and values.
  • Provide a safe environment for members; monitor residences and vehicles, report unusual activity, and communicate construction updates.
  • Deliver exceptional member experiences daily, including personalized greetings, small talk, and assisting with requests.
  • Educate members on amenities, costs, and sign-up procedures.
  • Build rapport with members, learning family details, home build information, and preferences.

Operations & Systems:
  • Manage Cobalt reservation system for member cottages; train and onboard the Member Services team.
  • Conduct member onboarding in Cobalt, including adding family profiles, hobbies, accommodations, and ensuring greeting calls.
  • Assist and train the Member Services team on tasks such as posting charges, mass emails, and new member sign-ups.
  • Collaborate with other departments, including membership/billing, food & dining, cart attendants, party planning, and training facilities.

Leadership & Collaboration:
  • Communicate frequently with the Operations Manager regarding service standards, feedback, forecasting, and operational improvement.
  • Assist in overseeing key functions for members and club operations, advising on housekeeping, quality assurance, and overall operational needs.
  • Provide support across departments as needed to ensure seamless daily operations.
